The site agent

A small Windows service on any PC at the site. How it works.

  • Nothing needs opening upIt reaches TimeSpark over ordinary outbound HTTPS. No firewall changes, no VPN.
  • Every clocking kept safeStored locally until TimeSpark confirms it. A broadband outage loses nothing.
  • Picks up where it left offAfter a restart, it carries on from exactly the last clocking it sent.

Working patterns and rotas

Holiday and leave

One place for every kind of time off, worked out in hours from each person's own pattern.

  • Allowances and balancesEntitlement, carried over, taken, booked and left, in hours or days.
  • Bank holidays: open or closedMost systems assume you close. TimeSpark asks: open as normal, closed from the allowance, or closed on top of it.
  • Everything followsWhen you close, nobody's expected in, working it counts as overtime, leave across it doesn't charge for the day, and balances deduct it when it comes from the allowance.
  • Official dates, kept up to dateFrom gov.uk's lists for England and Wales, Scotland, and Northern Ireland, updated automatically.
  • Booked in hoursWorked out from each person's own pattern, so a half-day for a part-timer is right automatically.

Timesheets

Worked out from the clockings, and they show their workings.

  • A weekly gridHours worked per person per day, against what was scheduled.
  • First in, last outWithin each shift. Lunch breaks and second taps make no difference, and the break comes off from the pattern.
  • FlagsLate, left early, no clock-out, no-show, worked a rest day, and overtime.
  • Every day shows its workingsEach clocking with its photo, which ones counted, and the sum: 16:31 − 08:02 − 0:30 break = 7:59.
  • Corrections on topSet a missing clock-out, book a no-show as sickness, approve overtime. Each one records who, when and why.
  • Clockings are never changedWithdrawn corrections stay on the record too.
  • Ready for payrollExport with decimal hours, overtime, leave and every correction spelled out.

Teams

Each manager sees their own team, and only their own team.

  • Grouped the way you runPacking, Nights, the Lincoln site: each team has one or more managers.
  • Managers see their own peopleAttendance, holiday, timesheets and clockings for their team, and nobody else's. HR and company administrators see everyone.
  • Requests go to the right managerHoliday requests go to the person's own managers, not every manager in the company.
  • Cover built inA team can have several managers, such as a deputy for holidays, and a manager can look after several teams.
  • Most off at onceA limit per team. Booking and the wallchart warn before it's broken. A warning, never a block: the manager decides.
